Comparison

QR code and app-based attendance vs. RFID and biometric systems

We supply biometric devices as well, so this is not a pitch against them. It is a straight, line-by-line account of what differs when you put each system into a working school.

*SMS delivery attracts extra charges. Comparison reflects typical school deployments of each system.
AspectQR code system (Attendances)RFID / biometric system
Easy communicationAttendancesSends real-time push notifications or SMS* with time stamps and photos to parents, improving transparency and engagement.ConventionalLacks built-in notification features unless additional software is integrated.
Secured photo verificationAttendancesCaptures a photo during attendance for verification, reducing proxy attendance and improving security.ConventionalNo photo verification; relies solely on RFID cards, which can be swapped or lost.
Cost effectiveAttendancesOperates using smartphones or tablets, eliminating the need for expensive hardware like card readers or servers.ConventionalRequires dedicated RFID readers and cards, leading to higher setup and maintenance costs.
Registration processAttendancesQR codes are generated instantly and printed on site, requiring no specialised skills or equipment. Faces are mapped from images the school has already uploaded.ConventionalMapping RFID cards or enrolling for facial recognition is time-consuming and requires trained personnel.
Customisable featuresAttendancesFlexible features such as auto-absent alerts, late arrival notifications and customisable reporting.ConventionalLimited features unless integrated with additional software, which increases complexity and cost.
Scalability and maintenanceAttendancesEasily scalable with minimal effort — additional devices or users only — with low maintenance needs.ConventionalScaling involves purchasing additional hardware and ongoing maintenance, increasing costs and effort.
Parent engagementAttendancesKeeps parents informed with real-time updates and photos, creating an interactive and transparent experience.ConventionalProvides no direct interaction with parents unless heavily customised, adding cost and complexity.
The short version

Where each approach genuinely wins

Choose app-based QR / face scan when…

  • You have hundreds or thousands of students to onboard
  • Parents need to be told, in real time, that their child arrived
  • There is no budget for a terminal at every entrance
  • You want to be live this month, not next term
  • Photo-verified records matter for proxy prevention
  • More gates may be added later

Choose a fixed biometric terminal when…

  • The population is small and stable — typically staff
  • Attendance must tie into payroll or leave records
  • The entrance is unsupervised and a phone would not be safe
  • Policy or the management committee mandates a physical device
  • A capital purchase is preferred over a recurring subscription

We supply and integrate eSSL and Hikvision devices for these cases. See device options.

Questions

The objections we hear most

Is a QR code really as secure as a biometric?

On its own, no — a card can be handed over. Which is why we pair it with a photo captured at the moment of scanning, sent to that student's parent. A biometric cannot be lent, but it also cannot prove to a parent that their child arrived. Used together with photo verification, QR attendance closes the loop that matters to a school.

So why would we ever buy a biometric device from you?

For staff, and for entrances nobody supervises. Small headcount, one fixed location, payroll linkage — that is a terminal's home ground. We supply eSSL and Hikvision for exactly those cases and integrate them into the same reports and alerts.

What about RFID cards? A vendor has quoted us for those.

Ask them three questions: what the replacement cost of a lost card is, what happens when a card is lent to a friend, and how the parent finds out their child arrived. RFID answers the first two poorly and the third not at all — the notification requires separate software, which is where the quote grows.

Can we start with QR and move to face later?

Yes, and most schools do. Because face mapping uses images already uploaded, switching on face recognition later involves no enrolment drive and no new hardware — you simply enable it and mount a phone.
