Live photo verification — a real photograph at every scan
Our premium capture option. The instant a student scans their QR code or their face, a live photograph is taken, sent to the parent with the notification, and retained in the school’s own records. Attendance stops being a claim and becomes evidence.
A credential proves a card turned up. A photograph proves a child did.
Every attendance system in the world records that something was presented at the reader — a card, a finger, a face. What almost none of them can produce, weeks later, is a picture of the person who presented it. That gap is where proxy attendance lives, and it is exactly the gap a worried parent cares about.
Photo verification closes it. One live frame, captured at the moment of the scan, is worth more than any amount of log data — to the parent reading their phone at 09:41, and to the school defending a record at an enquiry six months later.
- Captured live, not recalled. A fresh photograph at the scan, not the profile image on file.
- Delivered to the parent alongside the notification, with the time stamp.
- Retained by the school in its own account, for records, disputes and audits.
- Works with QR and with face scanning — the capture is identical either way.
- Cleared from the device after syncing — the gate phone never fills up.
Welcome, GATE DEVICE 01
Sample High School (H.S.)
Four steps, still under a second
Scan
The student presents their QR code, or looks at the phone for a face scan.
Capture
The app takes one live frame at that moment and attaches it to the attendance record.
Notify
The parent receives the photograph with the IN or OUT notification through School eDiary.
Archive & clear
A copy is filed in the school’s records; the local copy is deleted from the device.
Ends proxy attendance outright
A borrowed card produces a photograph of the wrong face on the right parent’s phone. In practice it stops within the first week, because everybody understands why.
Defensible records
When a parent, a committee or an inspector questions a date, the answer is a photograph rather than an argument.
Reassurance parents can see
Head teachers tell us this is the feature parents mention at meetings. Seeing the child is not the same as being told about the child.
Or opt out entirely
Institutions with stricter photo policies can run the Lite version, which records attendance and notifies parents without sharing any image.
Light on data, light on the device
A photograph per scan sounds heavy. It is not, because we designed around the reality of a school phone on a school connection.
Nominal data usage
Images are compressed for transport, so a full morning of scanning uses only a modest amount of mobile data.
Auto-cleared from the device
Once synced, the local copy is deleted. The gate phone’s storage does not creep up over the term.
Offline tolerant
If the connection drops, scans and images queue on the device and upload when it returns. Nothing is lost.

Photo verification, answered
What exactly is captured, and when?
A single live photograph, taken at the instant the QR code or the face is scanned — front camera, on the spot, not a stored profile picture. It is stamped with the time, the device and the direction (IN or OUT), delivered to that student's parent with the attendance notification, and filed in your institution's own records.
How is this different from the standard version?
The standard version tells the parent that their child was marked present, with the time. Photo verification shows them who was actually at the gate. For the school, it converts an attendance log into evidence: if a record is ever questioned, there is a photograph attached to it.
Does it work with QR scanning as well as face scanning?
Yes — both. With face scanning the capture is inherent to the process. With QR scanning it is what closes the one real weakness of a card-based system: a card can be lent, but the photograph on the parent's phone cannot be faked.
Will all those photographs fill up the phone at the gate?
No. Once an image has synced it is removed from the device, so a gate phone does not accumulate storage over a term. The app is also deliberately light on mobile data — it needs only a nominal amount to run through a school day.
Where are the photographs stored, and who can see them?
In your institution's own account on our cloud, visible to authorised school users. Each parent sees only their own child's images. The school decides the retention period. Institutions with stricter photo policies can run the Lite version instead, which records attendance with no image sharing at all.
Is it included, or extra?
Live photo verification is a premium feature, quoted on top of the standard package. Ask us for pricing — we will quote it against your student and staff numbers.
See a live capture at your own gate
We will scan a class in front of you and put the photographs on a parent’s phone in the room, so you can judge the feature rather than take our word for it.
